Access Care Australia

Three disability and aged-care services brands consolidated onto one Microsoft 365 stack, with managed web hosting and a meaningful compliance uplift.

Overview

Access Care Australia is a group of three brands operating in the Australian disability and aged-care services sector: MyCarespace, PlanHero and the A List Hub. BaseHost has delivered the consolidation, standardisation and ongoing management of the group’s entire technology footprint, from devices and identity through to managed web hosting and the compliance posture around client data.

The Situation

When BaseHost took the engagement on, Access Care was running a patchwork environment. Part Google Workspace, part Microsoft 365. A mixed fleet of computers on a mix of antivirus tools. Zoho CRM in use across the brands (and still in use today, supported by us). Three websites in various states of disrepair: a couple of WordPress sites and one legacy Drupal site that was the main business application. The hosting was unreliable and the compliance posture across the web tier was poor for a business handling sensitive client data in the disability and aged-care sectors.

What We Delivered

Standardised on Microsoft 365 across all three brands. One tenant, one identity layer, one productivity stack, replacing the previous Google Workspace and Microsoft 365 split.

A standardised Windows fleet. Mixed devices and overlapping antivirus tooling replaced with a single managed Windows plus Microsoft 365 environment, the same kit and the same security posture across every brand.

Continued Zoho CRM support. The CRM the business already used and trusted has been retained. We provide ongoing support and integration touchpoints into the wider Microsoft 365 environment.

Web platform consolidation onto a dedicated managed server. All three brands’ websites moved off unreliable shared hosting onto a dedicated server we provision and manage, covering both the WordPress sites and the legacy Drupal application.

Ongoing website upkeep. Patching, monitoring and maintenance across every site, plus the underlying server infrastructure, run under one engagement.

Standardised file storage. Consistent locations for client and business data across the three brands so staff know where information lives, regardless of which brand they are working in.

Compliance uplift around client data. Tighter controls and clearer processes for handling client information, aligned to the expectations of the disability and aged-care sectors Access Care serves.
